A. Cancellation

If it is necessary for any sponsor to withdraw from the conference, the sponsor must notify Discovery Institute in writing by TBD.

Sponsor refunds will be made according to the following schedule:

  • Full general sponsorship fee if notification is received by TBD.
  • No refunds will be given for notifications received after TBD.

B. Deadline

Sponsorship application, payment, and artwork for the conference brochure must be received by TBD.

C. Submission of Artwork

Each sponsor is responsible for providing a press-ready, high resolution PDF or EPS of its feature to be placed in the conference brochure. If no artwork is received, company name and type of sponsorship will be listed in the space provided for the feature.

All copy is subject to acceptance by the publisher. Publication of a feature is neither an endorsement of the sponsor nor of its products or services. Discovery Institute is not responsible for sponsor claims in published features.

D. Payment

Payment must be received with the registration form to be considered. Discovery Institute is exempt from federal income taxes as an IRS 501(c)(3) organization. All donations are deductible to the extent allowable by law. Please make check payable to ‘Discovery Institute’ and mail to 208 Columbia Street, Seattle, WA 98104.

1. Location of Exhibits

The Exhibit Show will be located at the Hyatt Regency Bellevue On Seattle’s Eastside, located at 900 Bellevue Way NE, Bellevue, WA 98004.

2. Exhibitor Registration and Housing

Vendors must register all representatives online for the Conference. Vendors who are also sponsors may have registration provided as part of their agreement. Other individuals (including authors, consultants, colleagues, friends, and relatives) who may be associated with the company must pay the regular conference registration fees.

3. Booth Equipment and Service Information

Standard drapery booth equipment – draped and dressed tables with access to electrical plug-ins are provided.

4. Installation and Removal of Exhibit

It is mutually agreed that it is the duty and responsibility of each exhibitor to install the exhibit before the opening of the conference and to dismantle the exhibit immediately after the close of the conference. Exhibitors will have access to the space on Tuesday, October 31, between 4:00 and 7:00 pm.

5. Exhibit Hours

Booths may be opened during the following hours:

Wednesday, November 1 | 10:00 AM – 4:00 PM
Thursday, November 2 | 7:30 AM – 7:00 PM
Friday, November 3 | 7:30 AM – 12:00 PM

6. Restrictions

Management reserves the right to restrict exhibits that are not consistent and compatible with adopted values and that unfairly exploit COSM products and services. Management also reserves the right to restrict exhibits that become objectionable because of noise, method of operation or materials.

7. Sales

Exhibitors are permitted to make sales on the exhibit floor. Obtaining the appropriate licenses or permits as required by law, collecting and remitting sales taxes, and any other legal business requirements are solely the responsibility of the exhibitor.

8. Liability

Neither Discovery Institute employees, officers, agents, and directors, nor its representatives are liable for any damages or loss that may occur to the exhibitor or to the exhibitor’s employees or property from any cause whatsoever. Insurance and liability are the full and sole responsibility of the exhibitor. The exhibitor, on signing this contract, agrees to indemnify and hold forever harmless the aforementioned for any and all liability and expense for personal injury, accident, or property damage from fire, theft, destructive causes, or loss arising out of, in, at, or in connection with the exhibitor’s display.

9. Security

Exhibit management will provide necessary security during hours the exhibit area is closed. Exhibitors, however, are solely responsible for their own exhibit materials and should insure the exhibit against loss or damage from theft, accident, vandalism, fire, or other causes. All property of an exhibitor is understood to remain in the exhibitor’s care, custody, and control in transit to, from, or within the confines of the exhibit area.

10. Use of Space

All demonstrations, interviews, literature distributions, or other promotional activities must be confined within the space rented by the exhibitor. Sufficient space must be provided within the booth to contain persons watching any demonstrations and other promotional activities. Each exhibitor is responsible for keeping the aisle or aisles near the booth free of congestion due to demonstrations or other promotions.

No exhibitor will assign, sublet, or share the space allotted without the knowledge and consent of management. Exhibitors must show only goods manufactured or dealt in by them in the normal course of business. Food and beverage products may be distributed in sample quantities by those exhibitors engaged in the processing of these products. No firms or organizations not assigned exhibit space will be permitted to solicit business within the exhibit area.

11. Cancellation

All cancellations must be made in writing to Discovery Institute. If notification is received on or before October 8, 2021, all monies will be refunded. Cancellations received after October 8, 2021, obligates the exhibitor to full payment of the rental and forfeiture of all monies paid. No refunds will be made after this date. In the event of flood, fire, strikes, riots, civil commotion, or other uncontrollable circumstances that render the exhibit area unfit or unavailable for use all monies paid for rental will be refunded.
